The Department of Health Information Services/Medical Records is moving to Crosstown, a new building at the intersection of Albany Street and Massachusetts Avenue.
“We began preparing for this last year when we implemented inpatient scanning,” said Jackie Raymond, RHIA, director of Health Information Services and BWH’s privacy officer. “Health Information Services staff to date scanned more than 40,000 inpatient medical records, so many of the recent records clinicians may request are available and viewable online the day after discharge.”
The first phase of the move begins Dec. 7 with the opening of a drop-off and pick-up center on campus adjacent to the Radiology Inpatient Holding Area on L1 in ASB1. It will be open Monday through Friday, 7 a.m. to midnight. This new drop-off and pick-up center will be operational one month before Health Information Services/Medical Records moves staff and all patient paper records to Crosstown.
Clinicians and other BWH staff will be able to pick up and return patient medical records to the L1 location. Patients can request copies of medical records at the L1 location. There will be hourly record transport between the Crosstown facility and the main campus for paper medical records. When necessary, records may be faxed from Crosstown to requesting clinicians and staff in urgent patient care situations.
The new site at 801 Massachusetts Ave., 6th floor, offers additional space. The file room will hold twice as many medical records (eight months), and there is room dedicated to researchers and auditors to review records. Shuttle service will run every 30 minutes from the Service Center Garage and Crosstown from 7 a.m. to 6 p.m. Monday through Friday. Health Information Services will staff the Crosstown location 24 hours/7 days per week, beginning Jan. 22, 2008.
